STANDARD STRATA MANAGEMENT SERVICES

Accounting
  • Assist with preparation of annual Administrative Fund Expenses Budget
  • Assist with preparation of annual Reserve Fund Expenses Budget
  • Establish and maintain the required bank accounts
  • Investing surplus funds as instructed by Strata Council
  • Calculate Administrative and Reserve Funds levy Contributions based on Unit Entitlements
  • Prepare and issue notices levying Contributions as instructed
  • Provide a multiple choice of Contribution payment methods
  • Receive and deposit Contributions to Strata Company bank accounts
  • Receive and deposit additional payments to Strata Company bank accounts
  • Prepare and issue receipts for Contributions
  • Checking, coding and approving creditors invoices on behalf of the Strata Company
  • Pay creditors invoices on behalf of the Strata Company
  • Prepare invoices for management fees, disbursements and expenses, as per the agreement
  • Pay Strata Manager’s fees, disbursements and expenses
  • Import bank records into the strata company accounting program
  • Maintain financial records
  • Prepare and issue a quarterly Administrative Fund statement on request
  • Prepare and issue a quarterly Reserve Fund statement on request
  • Provide financial reports for the Annual General Meeting
  • Provide one annual Owner’s Contribution Summary
  • Provide one annual cash flow budget
  • Maintain payroll records
Administrative Services
  • Maintain custody of Common Seal
  • Maintain Strata Roll
  • Maintain AGM Meeting Minute Book
  • Maintain correspondence file
  • Record and retain notices required under the Strata Titles Act
  • Issue notices required under the Strata Titles Act
  • Refer to Council correspondence, inquiries and requests for information from proprietors
  • Refer to Council complaints from proprietors and residents
  • Receive and review proposed Council response to correspondence and complaints
  • Respond to correspondence and inquiries on behalf of the Strata Company
  • Respond to complaints on behalf of the Strata Company
  • Attend to routine telephone communication on behalf of the Strata Company
Annual General Meetings (Standard meeting attendance fee applicable)
  • Prepare Notices of Annual General Meetings
  • Distribute Notices of Annual General Meetings
  • Prepare Minutes of Annual General Meetings
  • Distribute Minutes of Annual General Meetings
  • Arrange for venue for meetings (cost to be borne by Strata Company)
  • Arrange for refreshments at venue (cost to be borne by Strata Company)
Repairs and Maintenance
  • Arrange for quotations for routine maintenance and repairs (maximum of 3 quotations per job)
  • Arrange for routine maintenance and repairs to common property
  • Arrange for routine cleaning of common property
  • Arrange for routine garden maintenance of common property.
  • Arrange for contract maintenance of swimming pool
  • Arrange for contract maintenance of lifts.
By-laws and Legal
  • Respond to queries from the Council regarding By-laws.
  • Provide reasonable assistance and advice to the Strata Council
